1. Organizational Location

 

Under the direct supervision of GBV sub-cluster coordinator and guided by the Humanitarian coordinator, the sub-cluster and training associate will provide admin, logistic, technical and financial support for the effective and efficient implementation of UNFPA’s/sub-cluster implemented training activities.  She/he will be responsible for providing logistical and administrative assistance to the sub-cluster meetings and activities that will facilitate satisfactory completion of the activities as well as financial and reporting requirements.

 

2. Job Purpose

 

The Sub-cluster associate will substantively contribute to the effective organizing and follow up of the sub-cluster meetings and requirement in close cooperation with the sub-cluster coordinator and the sub-cluster partners.

The sub-cluster associate will also facilitates the profiling and the implementation of the capacity-building program for the Sub-cluster and UNFPA, also the implantation of the trainings inside and outside Yemen, that includes the admin, logistic, financial support and also technical support if needed

 

3. Duties and Responsibilities

 

  • Organize the monthly sub-cluster meetings invitations, participants list, logistics and MoM.
  • Keeping record for the sub-cluster meetings and achievements, also plans, joint activities and relevant reporting.
  • Support the IM in the monthly reporting and data collection on dash board to avoid double reporting
  • Follow up and provide support to the sub-cluster joint events and activities.
  • Organize training schedule internally among the cluster members and internally in the office to avoided overlapping
  • Coordinating with the IP and the hubs about suitable dates to insure participation and availability of participants from hubs.
  • Manage preparation regarding location. IT equipment, training agendas and handouts, assessment forms and stationary
  • Daily follow-up on the training, providing technical support if needed.
  • Follow up on payments for IP and participants if needed
  • Follow up on training assessment/ pre and posttest forms and analyze results
  • Keeping attendance sheet
  • Documentation and archiving a data base for participants’ names, type of training, area (governorate) trainer evaluation (if available)
  • Prepare visibility material in coordination with communication person
  • Preparing certificate
  • follow- up on events related to training in coordination with Communication officer.
  • Complete, maintain validity and participate in all security trainings as prescribed by the UNFPA and duty station specific requirements.
  • Adherence to organizational and duty station security arrangements.
  • Any other related tasks assigned by the supervisor.

 

Qualifications and experience requirements

 

Education: 

 

University degree in a related field. In addition, to several years’ experience in the domain.

 

Knowledge and Experience:

 

  • Five years of progressively responsible professional experience in relevant topics
  • Strong follow up and organizational skills.
  • Strong verbal and written communication skills.
  • Proficiency in current office software applications and corporate IT systems.
